Description:
Executive Assistant to SVP, Medical Affairs, North America
The Executive Assistant will provide comprehensive administrative support to the SVP and Head of Medical Affairs, ensuring seamless coordination of schedules, communication, and logistical functions. This role involves meticulous travel planning, calendar management, meeting coordination, document preparation, and other administrative tasks to support business objectives.

Key Responsibilities:
  • Arrange and manage domestic and international travel, including real-time issue resolution.
  • Prepare and track expense reports and manage financial processing, including POs and invoices.
  • Maintain team calendars and schedule meetings with internal and external stakeholders.
  • Coordinate professional memberships, conference registrations, and events.
  • Draft, proof, and edit various documents, including agreements and presentations.
  • Manage meeting follow-ups, including documenting and distributing actionable items.
  • Provide cross-functional support for corporate and personal scheduling needs.
  • Handle additional tasks and projects to meet business goals.

Qualifications:
  • Education: High School Diploma required; Bachelor’s degree preferred.
  • Experience: Proven Executive Assistant experience, ideally in pharmaceuticals or global business. Background in managing international travel and meetings in matrixed organizations.
  • Skills: Proficiency in Microsoft Office and teleconference software, excellent attention to detail, strong communication and interpersonal skills, and cultural sensitivity. Experience with Concur preferred.
