Description:
We are seeking a highly organized and detail-oriented Administrative Assistant 3 to support departmental operations, leadership, and staff. This role is critical to ensuring smooth day-to-day administrative functions, with a strong emphasis on advanced Microsoft Office skills, communication, and coordination.
Key Responsibilities
- Provide high-level administrative and clerical support to managers and department staff
- Manage calendars, schedule meetings, and coordinate conference room logistics
- Prepare, edit, and format documents, reports, and presentations using Microsoft Office tools
- Compile, analyze, and summarize data for routine and special reports
- Maintain organized filing systems and manage incoming/outgoing correspondence
- Coordinate travel arrangements, meetings, and departmental events
- Assist with onboarding activities for new hires
- Prepare expense reports and maintain accurate documentation
- Handle confidential and sensitive information with discretion
- Provide phone support and assist with general inquiries
- Maintain office supply inventory and ensure operational readiness
- Support compliance with FDA regulations, safety policies, and ISO standards
- Train and support entry-level administrative staff as needed
Required Qualifications
- Associate’s degree required; Bachelor’s degree preferred (Business Administration, Communications, or related field)
- Minimum of 4 years of administrative experience, or:
- High school diploma/GED with 6+ years of related experience in lieu of degree
- Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) is required
- Strong organizational, analytical, and problem-solving skills
- Ability to manage multiple priorities and meet deadlines independently
- Excellent written and verbal communication skills
- Strong attention to detail and commitment to accuracy
- Professional interpersonal skills and ability to work across all levels of the organization
Physical Requirements
- Ability to lift or move up to 25 pounds
- Ability to stand for extended periods (up to 4 hours at a time)
- Manual dexterity to perform standard office tasks
